Who can use WorkFlexStay?+

WorkFlexStay is built for Accommodation Providers, recruitment agencies and business representatives who manage workforce accommodation.

What should I do if I forgot my password?+

Use the forgot password link on the login page. You will receive an email with a secure reset link.

Why do I need company details?+

Company details are used for contracts, invoices, verification, communication and platform safety.

For agencies

How do I find accommodation?+

Use Find Housing, filter by city, dates, people, price and availability, then open a property to request a booking or contact the Accommodation Provider.

Can I request fewer rooms than the full property?+

Yes. The Accommodation Provider can accept only the requested rooms or require billing for the full available property before contract generation.

Where do I see received offers?+

Open your agency dashboard and go to Received Offers. You can review, accept or reject offers there.

How do I add accommodation?+

Go to the Accommodation Provider dashboard, choose Add Accommodation and complete the address, capacity, rooms, pricing, utilities, photos and compliance details.

Can I make a property unavailable?+

Yes. In My Properties you can mark a property unavailable if it has been rented elsewhere or should not receive requests.

What happens when I accept a booking?+

The platform generates the contract flow. Both parties can review and sign digitally, then the first invoice/payment step follows.

Contracts and signing

Digital contracts, audit trail and signed documents.

Are contracts signed digitally?+

Yes. WorkFlexStay records signer name, email, timestamp, IP address, signature ID and accepted confirmations for the signing audit trail.

Where can I download the contract?+

Open the contract page from your dashboard and use Download PDF after the contract has been generated or signed.

What if one party has not signed yet?+

The contract page shows which party still needs to sign. Notifications and reminders can be sent by the platform.

Invoices and payments

First invoices, monthly invoices and payment references.

When is the first invoice created?+

The first invoice is created after the required signing step. It can include prorated rent, next month rent, service costs, deposit, cleaning fee, platform fee and VAT where applicable.

When are monthly invoices generated?+

The monthly invoice cron is prepared for the 7th of each month. It currently creates draft invoices for review before sending.

Why is the payment reference important?+

The payment reference connects a payment to the correct invoice, contract and client account. Always use the exact reference shown on the invoice/payment overview.

Check-in, check-out and deposits

Property condition, photos, meters and damage settlement.

When can check-in be completed?+

Check-in is available after the contract and first invoice/payment flow are ready according to the platform status.

What is recorded at check-out?+

Check-out can include photos, meter readings, notes, damages, invoices or proof used for deposit settlement.

Who decides deposit deductions?+

Deposit deductions are supported by evidence. WorkFlexStay facilitates the record and communication but the underlying dispute remains between the Accommodation Provider and client unless otherwise agreed.

Registration and profile

Creating an account, verification and profile changes.

How do I create a WorkFlexStay account?+

Choose Register, select Agency or Provider/Landlord, enter your business details and accept the Terms and Privacy Policy. Agencies register as companies. Providers may register as a company or private provider.

What information is required during registration?+

The platform may request your business email, representative name, phone number, address, KvK number, VAT / BTW number and bank details. The required fields depend on your role and account type.

Can a private landlord register?+

Yes. A provider can choose a private account when renting out property privately. Agencies must use a professional company account.

Can I change my profile information or password?+

Yes. Open Profile to update permitted contact or company details. Password changes require your current password. If you forgot it, use the secure reset link on the login page.

Booking requests and offers

Request status, revised offers and partial bookings.

What can a provider do with a booking request?+

The provider can accept the request, propose revised dates, rooms or pricing, or decline it. The agency receives the updated status through the platform.

How do I know whether a request was accepted or declined?+

Check Booking Requests, notifications and Messages. The booking status shows whether it is waiting, revised, accepted or declined.

How do partial room bookings work?+

If a property allows room-by-room rental, the provider may accept only the requested rooms. Each accepted partial booking receives its own contract, invoice and check-in flow. Remaining rooms can stay available.

Can dates or capacity be changed before the contract?+

Yes. A revised booking can be proposed before contract generation. The other party must review and accept the revised details before the flow continues.

Property listings and availability

Drafts, photos, pricing and compliance information.

Can I save an unfinished property and continue later?+

Yes. Property onboarding is saved as a draft. The landlord dashboard shows an unfinished draft and lets you continue from the saved step.

How should I add and arrange property photos?+

Upload clear photos of rooms, shared spaces and facilities. You can select the cover image and arrange the display order. The current limit is 30 photos per property.

How are weekly prices used in contracts and invoices?+

Weekly prices can be displayed in search, but monthly contracts and invoices use the formula weekly price multiplied by 52 and divided by 12.

What do SNF, PKS and the energy label mean on a listing?+

Providers may add available compliance and quality information. The provider remains responsible for the accuracy and validity of SNF, PKS and energy-label details.

Invoices, payment and fees

Payment methods, invoice timing and failed payments.

Which currency and payment methods are used?+

Invoices are issued in EUR. The available payment instructions are shown on the relevant invoice or payment page, based on the account and invoice setup.

How much does WorkFlexStay cost?+

Applicable platform fees are shown in the Terms, invoice or payment overview. The fee depends on the applicable commission tier and is calculated according to the platform rules.

What should I do if a payment fails or I return from checkout?+

Open the invoice again and check its current payment status. If it is still unpaid, follow the current payment instructions. Do not create repeated payments while an earlier payment is still pending.

Can I download or receive an invoice by email?+

Yes. Invoices can be opened and downloaded as PDF from the Invoices page. When email sending is enabled, the platform can also send the invoice and payment details to the agency email.

Safety, rules and support

House rules, reporting and supporting evidence.

Where can I find the house rules?+

House rules and provider notes may appear in the property details and form part of the booking information. The agency is responsible for ensuring occupants follow them.

Does WorkFlexStay guarantee SNF certification or legal compliance?+

No. Providers remain responsible for listing accuracy, permits, municipal rules, occupancy and compliance information. WorkFlexStay facilitates the platform process but does not replace legal or technical verification.

How do I report an unsafe, false or suspicious listing?+

Use the contact or complaints channel and include the property, account, booking or message reference plus screenshots or other evidence. Urgent safety or fraud reports receive priority.

What information should I include when contacting support?+

Include your account email and, where available, the property number, booking number, contract number, invoice number and a clear description with screenshots.
